Complete guide to QCraft Calendar Zoom Integration
1. Overview
QCraft Calendar integrates with Zoom to automatically synchronize your meetings with QCraft CRM. This integration enables seamless tracking of client meetings, automatic contact linking, and comprehensive activity timelines.

2. Getting Started
Prerequisites
- An active QCraft CRM account
- A Zoom account (Basic, Pro, or higher)
- Admin permissions in your QCraft workspace (for initial setup)
3. Connecting Your Zoom Account
Step-by-Step Guide
- Log in to your QCraft CRM account
- Navigate to
Settings > Integrations
- Find "Zoom" in the available integrations list
- Click
Connect
- You'll be redirected to Zoom's authorization page
- Review the permissions and click
Authorize
- You'll be redirected back to QCraft with the connection active
Note: The authorization process requests only the minimum permissions necessary for meeting synchronization. We do not access recordings, chat messages, or other sensitive data.
4. Features
4.1 Meeting Synchronization
Once connected, QCraft Calendar automatically imports your Zoom meetings. The sync includes:
- Meeting title and description
- Start time and duration
- Participant list
- Meeting status (scheduled, completed, cancelled)
4.2 Contact Matching
QCraft automatically matches meeting participants to existing CRM contacts using:
- Email address (primary matching method)
- Name matching (secondary)
4.3 Timeline Integration
All synced meetings appear in the activity timeline of matched contacts, providing a complete history of your interactions.
5. Sync Settings
Configure your sync preferences in Settings > Integrations > Zoom > Settings:
- Sync Frequency: Real-time, hourly, or daily
- Meeting Types: Choose which meeting types to sync
- Date Range: How far back to sync historical meetings
- Auto-link Contacts: Enable/disable automatic contact matching
6. Troubleshooting
Meetings Not Syncing
- Verify your Zoom connection is active in Settings
- Check that the meeting type is included in your sync settings
- Try disconnecting and reconnecting your Zoom account
Contacts Not Matching
- Ensure the participant's email in Zoom matches their CRM contact email
- Check that auto-linking is enabled in sync settings
Authorization Errors
If you see authorization errors, your Zoom token may have expired. Go to Settings > Integrations > Zoom and click "Reconnect" to refresh your authorization.

meeting:read - Read meeting information
user:read - Read user profile information
Webhook Events
We listen for the following Zoom webhook events:
meeting.created - New meeting scheduled
meeting.updated - Meeting details changed
meeting.deleted - Meeting cancelled
meeting.ended - Meeting completed
Deauthorization
When a user removes QCraft Calendar from their Zoom account, we receive a deauthorization webhook and immediately:
- Revoke all access tokens
- Stop all data synchronization
- Mark the integration as disconnected in QCraft
